7 BestRx Features Every Pharmacy Should Be Using for Dispensing

Dispensing is every pharmacy’s bread and butter—but that doesn’t mean it has to take up your entire day.

As more pharmacies expand into clinical care, they’re learning to juggle new opportunities with the same day-to-day tasks they’ve been used to handling for years. It’s no wonder that now time seems short.

With the right tools in place, dispensing can be easy, efficient, and just another to-do rather than an entire day of work.

If you’ve been using BestRx for any amount of time, you know just how much the system can do to help you dispense more effectively. While we prioritize keeping the software simple, straightforward, and easy to use for pharmacies — well, there’s always more to learn… and more to do!

In this blog, we’re highlighting some of the most useful (and sometimes overlooked) dispensing tools in BestRx. These features can help you reduce errors, speed up your workflow, and give your team a little bit of breathing room.

Here’s what we recommend:

1. Manage Intake Queue

Sometimes when you’re in the middle of filling scripts, things don’t go according to plan: the phone rings, a patient walks in, or another prior authorization doesn’t go through. When other tasks come up, you need to save your progress and return to dispensing when you have free time.

That’s where the Manage Intake Queue shines. It lets you quickly add basic prescription info (like patient, drug, and prescriber) and come back to dispensing without losing your place.

How to use it:

  • Go to Workflow > Manage Intake Queue (or Dashboard > Intake Queue)
  • Enter Patient Name, Prescriber, and Drug
  • Set a Defer Date (for later) or Promise Time (to prioritize)
  • Scan or snap a pic of the script
  • When you’re ready to process, the info you already entered will auto-fill. Just finish and hit Save.

2. Refill Requests

Waiting for a doctor to call back can bring your whole workflow to a halt.

But you don’t have to be left waiting. Refill Requests let you send that request directly from the patient profile and keep an eye on the status, so you’re never left wondering if the request’s been answered.

How to use it:

  • Open the Patient Profile (F6)
  • Right-click the Rx > Click Refill Request
  • Choose the prescriber and method (eRx or Fax)
  • Track the status under Workflow > Option 7: Refill Requests

3. Surescripts Prescriber Directory

Updating prescriber info can be a pain when you have to chase down contact details or guess if a doctor’s address has changed.

The Surescripts Prescriber Directory, built right into BestRx, eliminates that second-guessing and gives you instant access to a nationwide database of verified prescribers. Use it to grab info and get right back into workflow.

How to use it:

  • Go to File > Surescripts Prescriber Directory (or E-Rx > Surescripts Prescriber Directory)
  • Type in the prescriber’s name, NPI, or address to pull up matching results
  • Select the correct prescriber and import their details

4. Inbound Faxes

Even in 2025, faxed prescriptions and documents probably still show up at your door. The Inbound Faxes feature helps you take care of them.

Instead of digging through piles of paper or a separate fax machine, you can review, link, and manage faxes electronically. No more clutter or spilled coffee on important documents.

How to use it:

  • Set up an account with a supported eFax provider (SRFax and Updox)
  • Once you have an account, contact Customer Service for linking and final set up within BestRx.
  • Once connected, go to Misc > Inbound Faxes
  • New faxes will appear in green until opened (then they’re marked as read)
  • You can:
    • Preview the fax
    • Link it to a patient, prescriber, drug, pharmacy, and more
    • Delete unneeded faxes
  • Faxes are automatically deleted after 30 days unless saved elsewhere

5. RxLocation Management

Nothing’s more frustrating than not knowing where a prescription ended up on the shelf and having to dig around trying to find it.

RxLocation Management is one way to solve it. It lets you track where prescriptions live in your pharmacy so your team always knows exactly where to find them. No more lost scripts or wasted time trying to hunt them down.

How to use it:

  • Go to Workflow > Option 5: Rx Location Management
  • Create Locations (like “Cash Register”) and Sections (like “Bin A” or “Shelf 2”)
  • Assign Rxs in one of two ways:
    • While filling: From the Notification Bar, click Add to Will Call and choose a Location
    • After filling: Go to Patient Profile (F6), right-click the Rx, and hit Assign/Edit Rx Location
  • You’ll now see the location in the patient profile and Will Call Queue.

6. Document Management

Paperwork piling up again? The Document Management feature lets you scan, capture, or attach files directly to prescriptions, patient files, prescriber records, and more (no papercuts involved!).

From BestRx, you can find delivery tickets, prescription copies, or any other info that patients, prescribers, or payers might need to have.

How to use it:

  • Upload or scan documents to the following areas:
    • Rx image (great for hard copies and delivery tickets)
    • Patient file
    • Prescriber file
    • Drug file
    • Insurance file
  • Use Batch Scan to upload multiple Rx images or delivery tickets at once
  • Adjust scanner settings to control things like resolution or duplex mode

7. 14-30 Day Will Call Queue

Unclaimed prescriptions can cause headaches (and lost profit), but the 14-30 Day Will Call Queue helps you keep an eye on what’s been waiting too long.

From this screen, you can quickly decide whether to reverse a script, send a pickup reminder, or message patients to clear out your queue.

How to use it:

  • Go to Dashboard > Notification Bar
  • View a list of Rxs overdue by 14–30 days (To adjust the Will Call Queue timeframe, click Edit Default Durations to customize it to your preference).
  • From this screen, you can:
    • Reverse the Rx
    • Send a pickup reminder
    • Send a general message to all or some of the Rxs in the queue

Conclusion

Dispensing will always be at the heart of your pharmacy, but BestRx can make that work smoother so you have more time for other tasks.
